Privacy Policy — HRIS Mobile
PT Inovasi Digital Sejahtera (“we”, “us”, “the Company”, or “Developer”) values your privacy. This Privacy Policy explains how we collect, use, store, protect, and share information obtained through your use of the HRIS Mobile application (the “Application”).
HRIS Mobile is a workforce attendance and HR management application developed and provided by PT Inovasi Digital Sejahtera to organizations that subscribe to our service. It supports Human Resource Information System (HRIS) operations including attendance, leave requests, approvals, and workplace communications. Your employer has adopted HRIS Mobile for its workforce and acts as the data controller for its own employment records; we act as the service provider that operates the platform on your employer’s behalf.
By installing and using the Application, you agree to the practices described in this Privacy Policy.
We are committed to complying with Indonesian Law No. 27 of 2022 on Personal Data Protection (UU PDP) and other applicable regulations.
1. Information We Collect
We collect the following categories of data on a limited and specific basis for legitimate purposes:
1.1 Identity & Account Data
- Full name
- Employee ID
- Work email address
- Phone number
- Company name, company code, and division
- Job title and other relevant employment data
1.2 Face Data
- A facial image captured once during registration, which is converted into a face template and then discarded
- A face template (a numerical vector, also called an embedding) derived from that image
- A facial image (selfie) captured each time you clock in or clock out
Face data is described in full in Section 3.
1.3 Attendance Data
- Attendance timestamps
- Geographic coordinates (latitude and longitude) at the time of attendance
- Reverse-geocoded address
- Attendance history
1.4 Request & Approval Data
- Leave submissions (dates, reasons, attachments)
- Business trip requests
- Approval/rejection history
- Attendance anomalies
1.5 Device & Technical Data
- Push notification token (Firebase Cloud Messaging)
- Device information (model, OS version) for compatibility
- Application logs (for troubleshooting)
1.6 Data We Do NOT Collect or Do
- We do not use your face data to train, retrain, fine-tune, or improve our face recognition model or any other machine learning model.
- We do not use your face to identify unknown or anonymous individuals. Matching only ever compares you against your own enrolled template.
- We do not perform emotion analysis, demographic inference, or age estimation.
- We do not track your location continuously or in the background.
- We do not use tracking cookies or advertising cookies.
- We do not sell your personal data to any third party.
2. How We Use Your Data
Data is used only for the following purposes:

We do not use your data for:
- Targeted advertising or marketing of any kind
- Automated decision-making with significant impact on you
- Surveillance, profiling, or behavioural tracking
- Purposes outside the HRIS scope without separate consent
3. Face Data Processing
The Application uses facial recognition to verify your identity when attendance is recorded. Its only purpose is to confirm that the person clocking in or out is the registered employee, in order to prevent attendance fraud — for example, one employee clocking in on behalf of another.
Consent. We collect face data only after informing you and obtaining your explicit consent. You may decline. You may withdraw your consent at any time, and your face template will be permanently deleted (see Section 8).
3.1 Registration (one time)
When you are onboarded, the Application captures an image of your face. This image is transmitted over an encrypted connection to our server, where our own face recognition software converts it into a face template — a numerical vector (embedding). The template is not a photograph and is not human-readable.
Your registration image is discarded once the template has been created. It is not retained. Only the numerical template is stored.
3.2 Clock in / clock out
Each time you clock in or out, the Application captures a facial image. Before the image is uploaded, Google ML Kit Face Detection runs entirely on your device to confirm that a usable face is present in the frame, so that unusable images are filtered out locally. Nothing is transmitted to Google by this component.
The image is then sent to our server, where it is converted into a numerical vector and compared only against your own enrolled template — a one-to-one comparison. We never use your face to search a database or to identify an unknown person.
3.3 Attendance evidence
The image captured at clock in/out is also stored as part of your attendance record, so that the entry can be reviewed or disputed by you or your employer. This image is visible only to a super administrator designated by your employer, within your employer’s own workspace, and only for that employer’s own employees.
3.4 Camera use and transparency
The camera activates only when you explicitly tap to register or to clock in/out. A live camera preview is displayed on screen throughout capture. The Application does not use ARKit, the TrueDepth camera, face mesh, or depth mapping.
3.5 Sharing of face data
We do not share, sell, or disclose your face data or face template to any third party. We use no external face recognition service, API, or cloud provider — all recognition and matching is performed by our own software on our own servers.
Your face template is never viewable, downloadable, or exportable — by your employer, by us, or by anyone else. It exists only to be compared against your own future clock-in images.
3.6 Where face data is stored
All face data is stored on our own dedicated server located in Jakarta, Indonesia, hosted by BiznetGIO and controlled solely by PT Inovasi Digital Sejahtera. BiznetGIO provides infrastructure hosting only; it does not access, process, or use your data. Data is encrypted in transit and at rest, access is limited to authorized personnel with audit logging, and each employer organization’s data is logically isolated from every other organization’s data. Face data is not transferred outside Indonesia.
4. Location Data Processing
The Application accesses your device location only when you perform clock in/clock out. Location is used to validate that you are at an approved office or work location.
Collected location data:
- GPS coordinates (latitude, longitude)
- Reverse-geocoded address
- Accuracy level
Location is not tracked continuously or in the background. You may decline to grant location permission; however, this may limit attendance functionality.
5. Data Storage & Security
5.1 Storage Locations
- App data and login session are stored locally on your device using flutter_secure_storage (Android Keystore / iOS Keychain) — encrypted.
- Face templates, attendance photos, and all other operational data (attendance, leave, etc.) are stored on our own dedicated server located in Jakarta, Indonesia, hosted by BiznetGIO and controlled solely by PT Inovasi Digital Sejahtera.
- Data is not stored on any shared or third-party platform outside our control.
5.2 Retention Periods

Attendance photos are retained because they form part of your employer’s employment records, which are subject to labour and tax record-keeping obligations that vary between employers. After the retention period, data is anonymized or permanently deleted.
When an employer’s service contract with us ends, that organization’s entire dataset — including all face templates and attendance photos — is permanently deleted within 14 days.
5.3 Security Measures
- All data in transit uses HTTPS/TLS encryption
- Face templates and attendance photos are stored in encrypted form at rest
- Authentication tokens are stored in secure storage on your device
- Server access is restricted with role-based access control
- Audit logging for sensitive data access
- Each employer organization’s data is logically isolated from every other organization’s data
6. Third-Party Sharing
We share your data only as strictly necessary, and no third party receives your face data:

Firebase Cloud Messaging receives only your notification token and notification payload. It does not receive your face images, face template, attendance photos, or location data.
We do not use any third-party face recognition API or SDK, and we do not share your data with any other third party for marketing or advertising.
We may disclose data if required by law, court order, or to protect the rights of the company and its employees.
7. Your Employer’s Access
Your employer is the data controller for its own employment records. A super administrator designated by your employer can view attendance records and attendance evidence photos for that employer’s own employees, within that employer’s isolated workspace. This is inherent to any workplace attendance system.
Your employer cannot access, view, download, or export face templates, and cannot access any other organization’s data.
8. Your Rights as a Data Subject
Under UU PDP and applicable regulations, you have the following rights:
- Right of access — Request a copy of your personal data
- Right of rectification — Request correction of inaccurate data
- Right of erasure — Request deletion of your data, including your face data
- Right to restrict processing — Request limitation of specific processing
- Right of portability — Request your data in a machine-readable format
- Right to object — Object to certain processing
- Right to withdraw consent — Withdraw any consent previously given, including consent to face data processing
How to Exercise Your Rights
Because your employer is the data controller for its own employment records, requests relating to your personal data are coordinated through your HR or company administrator. Deletion is processed as a request rather than an immediate in-app action, so that attendance records your employer is legally required to keep are not erased unilaterally.

We will respond to your request within no later than 30 (thirty) working days, in accordance with UU PDP. Deletion of your face template is permanent and irreversible.
9. Account Deletion
To delete your HRIS Mobile account:
- Contact your HR or company administrator to submit a deletion request, or email support@inodigi.co.id.
- Once the account is deleted, your face template is permanently deleted, and your other personal data is anonymized or removed from our operational systems within 30 (thirty) working days.
- Employment records required by labour or tax law will be retained per applicable statutory retention periods.
10. International Data Transfers
Our backend is hosted in Indonesia (Jakarta). Face data is not transferred outside Indonesia. If we transfer any data outside Indonesia in the future, we will:
- Ensure the destination country has an equivalent or adequate level of data protection
- Provide notice to you
- Obtain the necessary consent in accordance with UU PDP
11. Children
This Application is not intended for individuals under 18 years of age. We do not knowingly collect personal data from children.
12. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. Material changes will be communicated via:
- In-app notification
- Email to your work email address
- Updated “Effective Date” at the top of this document
Continued use of the Application after notification of changes constitutes acceptance of the updated Privacy Policy.

Kebijakan Privasi — HRIS Mobile
PT Inovasi Digital Sejahtera (“kami”, “perusahaan”, atau “Pengembang”) menghargai privasi Anda. Kebijakan Privasi ini menjelaskan bagaimana kami mengumpulkan, menggunakan, menyimpan, melindungi, dan membagikan informasi yang diperoleh dari penggunaan aplikasi HRIS Mobile (“Aplikasi”).
HRIS Mobile adalah aplikasi absensi dan manajemen SDM yang dikembangkan dan disediakan oleh PT Inovasi Digital Sejahtera kepada organisasi yang berlangganan layanan kami. Aplikasi ini mendukung operasional Human Resource Information System (HRIS), termasuk absensi, pengajuan cuti, persetujuan, dan komunikasi kepegawaian. Pemberi kerja Anda menggunakan HRIS Mobile untuk tenaga kerjanya dan bertindak sebagai pengendali data atas catatan kepegawaiannya sendiri; kami bertindak sebagai penyedia layanan yang mengoperasikan platform atas nama pemberi kerja Anda.
Dengan menginstal dan menggunakan Aplikasi, Anda menyetujui praktik-praktik yang dijelaskan dalam Kebijakan Privasi ini.
Kami berkomitmen untuk mematuhi Undang-Undang Republik Indonesia Nomor 27 Tahun 2022 tentang Pelindungan Data Pribadi (UU PDP) serta peraturan perundang-undangan lain yang berlaku.
1. Informasi yang Kami Kumpulkan
Kami mengumpulkan jenis data berikut secara terbatas dan spesifik untuk tujuan yang sah:
1.1 Data Identitas & Akun
- Nama lengkap
- Nomor identitas karyawan (Employee ID)
- Alamat email kantor
- Nomor telepon
- Nama perusahaan, kode perusahaan, dan divisi
- Jabatan dan data kepegawaian lain yang relevan
1.2 Data Wajah
- Foto wajah yang diambil satu kali saat registrasi, yang kemudian diubah menjadi templat wajah lalu dihapus
- Templat wajah (vektor numerik, disebut juga embedding) yang dihasilkan dari foto tersebut
- Foto wajah (selfie) yang diambil setiap kali Anda melakukan clock in atau clock out

1.3 Data Absensi & Kehadiran
- Stempel waktu (timestamp) kehadiran

1.6 Yang Tidak Kami Kumpulkan atau Lakukan
- Kami tidak menggunakan data wajah Anda untuk melatih, melatih ulang, atau menyempurnakan model pengenalan wajah kami maupun model machine learning lainnya.
- Kami tidak menggunakan wajah Anda untuk mengidentifikasi individu yang tidak dikenal. Pencocokan hanya dilakukan terhadap templat terdaftar milik Anda sendiri.
- Kami tidak melakukan analisis emosi, inferensi demografis, atau estimasi usia.
- Kami tidak melacak lokasi Anda secara terus-menerus atau di latar belakang.
- Kami tidak menggunakan cookie pelacakan atau cookie iklan.
- Kami tidak menjual data pribadi Anda kepada pihak ketiga mana pun.
2. Bagaimana Kami Menggunakan Data Anda
Data yang dikumpulkan digunakan secara terbatas untuk tujuan berikut:

Kami tidak menggunakan data Anda untuk:
- Periklanan bertarget atau pemasaran dalam bentuk apa pun
- Pengambilan keputusan otomatis yang berdampak signifikan pada Anda
- Pengawasan (surveillance), profiling, atau pelacakan perilaku
- Tujuan lain di luar lingkup HRIS tanpa persetujuan terpisah
3. Pemrosesan Data Wajah
Aplikasi menggunakan pengenalan wajah (facial recognition) untuk memverifikasi identitas Anda saat absensi dicatat. Satu-satunya tujuannya adalah memastikan bahwa orang yang melakukan clock in/out adalah karyawan yang terdaftar, guna mencegah kecurangan absensi — misalnya seorang karyawan melakukan absensi untuk karyawan lain.
Persetujuan. Kami mengumpulkan data wajah hanya setelah memberi tahu Anda dan memperoleh persetujuan eksplisit Anda. Anda dapat menolak. Anda dapat menarik persetujuan kapan saja, dan templat wajah Anda akan dihapus secara permanen (lihat Bagian 8).
3.1 Registrasi (satu kali)
Saat Anda didaftarkan, Aplikasi mengambil foto wajah Anda. Foto ini dikirim melalui koneksi terenkripsi ke server kami, di mana perangkat lunak pengenalan wajah milik kami sendiri mengubahnya menjadi templat wajah — sebuah vektor numerik (embedding). Templat ini bukan foto dan tidak dapat dibaca manusia.
Foto registrasi Anda dihapus setelah templat dibuat. Foto tersebut tidak kami simpan. Hanya templat numerik yang disimpan.
3.2 Clock in / clock out
Setiap kali Anda melakukan clock in atau clock out, Aplikasi mengambil foto wajah. Sebelum foto diunggah, Google ML Kit Face Detection berjalan sepenuhnya di perangkat Anda untuk memastikan terdapat wajah yang layak pada frame, sehingga foto yang tidak layak tersaring secara lokal. Komponen ini tidak mengirimkan apa pun ke Google.
Foto kemudian dikirim ke server kami, diubah menjadi vektor numerik, dan dibandingkan hanya dengan templat terdaftar milik Anda sendiri — perbandingan satu-ke-satu. Kami tidak pernah menggunakan wajah Anda untuk menelusuri basis data atau mengidentifikasi orang yang tidak dikenal.
3.3 Bukti kehadiran
Foto yang diambil saat clock in/out juga disimpan sebagai bagian dari catatan kehadiran Anda, agar catatan tersebut dapat ditinjau atau disanggah oleh Anda maupun pemberi kerja Anda. Foto ini hanya dapat dilihat oleh super administrator yang ditunjuk oleh pemberi kerja Anda, di dalam workspace milik pemberi kerja Anda sendiri, dan hanya untuk karyawan pemberi kerja tersebut.
3.4 Penggunaan kamera dan transparansi
Kamera hanya aktif ketika Anda secara eksplisit menekan tombol untuk registrasi atau clock in/out. Pratinjau kamera langsung ditampilkan di layar selama pengambilan foto. Aplikasi tidak menggunakan ARKit, kamera TrueDepth, face mesh, maupun depth mapping.
3.5 Pembagian data wajah
Kami tidak membagikan, menjual, atau mengungkapkan data wajah maupun templat wajah Anda kepada pihak ketiga mana pun. Kami tidak menggunakan layanan, API, atau penyedia cloud pengenalan wajah dari luar — seluruh proses pengenalan dan pencocokan dilakukan oleh perangkat lunak kami sendiri di server kami sendiri.
Templat wajah Anda tidak pernah dapat dilihat, diunduh, atau diekspor — baik oleh pemberi kerja Anda, oleh kami, maupun oleh siapa pun. Templat tersebut hanya digunakan untuk dibandingkan dengan foto clock-in Anda sendiri di kemudian hari.
3.6 Lokasi penyimpanan data wajah
Seluruh data wajah disimpan di server khusus milik kami sendiri yang berlokasi di Jakarta, Indonesia, dihosting oleh BiznetGIO dan dikendalikan sepenuhnya oleh PT Inovasi Digital Sejahtera. BiznetGIO hanya menyediakan infrastruktur hosting; mereka tidak mengakses, memproses, atau menggunakan data Anda. Data dienkripsi saat transit maupun saat disimpan, akses dibatasi hanya untuk personel yang berwenang dengan audit log, dan data setiap organisasi pemberi kerja dipisahkan secara logis dari organisasi lain. Data wajah tidak ditransfer ke luar Indonesia.
4. Pemrosesan Data Lokasi
Aplikasi mengakses lokasi perangkat Anda hanya pada saat Anda melakukan absensi (clock in/clock out). Lokasi digunakan untuk memvalidasi bahwa Anda berada di lokasi kantor atau lokasi kerja yang ditentukan.
Data lokasi yang dikumpulkan:
- Koordinat GPS (lintang, bujur)
- Alamat hasil reverse geocoding
- Tingkat akurasi
Lokasi tidak dilacak secara terus-menerus di latar belakang. Anda dapat menolak memberikan izin lokasi, namun hal ini dapat membatasi fungsionalitas absensi.
5. Penyimpanan & Keamanan Data
5.1 Lokasi Penyimpanan
- Data aplikasi dan sesi login disimpan secara lokal di perangkat Anda menggunakan flutter_secure_storage (Android Keystore / iOS Keychain) — terenkripsi.
- Templat wajah, foto absensi, dan seluruh data operasional lainnya (absensi, cuti, dsb.) disimpan di server khusus milik kami sendiri yang berlokasi di Jakarta, Indonesia, dihosting oleh BiznetGIO dan dikendalikan sepenuhnya oleh PT Inovasi Digital Sejahtera.
- Data tidak disimpan di platform bersama atau platform pihak ketiga di luar kendali kami.
5.2 Periode Retensi

Foto absensi disimpan karena merupakan bagian dari catatan kepegawaian pemberi kerja Anda, yang tunduk pada kewajiban penyimpanan catatan ketenagakerjaan dan perpajakan yang berbeda-beda antar pemberi kerja. Setelah periode retensi berakhir, data akan dianonimkan atau dihapus secara permanen.
Apabila kontrak layanan pemberi kerja dengan kami berakhir, seluruh data organisasi tersebut — termasuk semua templat wajah dan foto absensi — dihapus secara permanen dalam waktu 14 hari.
5.3 Langkah Keamanan
- Komunikasi data menggunakan enkripsi HTTPS/TLS
- Templat wajah dan foto absensi disimpan dalam bentuk terenkripsi
- Token autentikasi disimpan di secure storage pada perangkat Anda
- Akses server dibatasi dengan kontrol akses berbasis peran
- Audit log untuk aktivitas akses data sensitif
- Data setiap organisasi pemberi kerja dipisahkan secara logis dari organisasi lain
6. Pembagian Data kepada Pihak Ketiga
Kami membagikan data Anda hanya dalam lingkup yang benar-benar diperlukan, dan tidak ada pihak ketiga yang menerima data wajah Anda:

Firebase Cloud Messaging hanya menerima token notifikasi dan payload notifikasi Anda. FCM tidak menerima foto wajah, templat wajah, foto absensi, maupun data lokasi Anda.
Kami tidak menggunakan API atau SDK pengenalan wajah dari pihak ketiga mana pun, dan kami tidak membagikan data Anda kepada pihak ketiga lain untuk tujuan pemasaran atau periklanan.
Kami dapat mengungkapkan data jika diwajibkan oleh hukum, perintah pengadilan, atau untuk melindungi hak-hak perusahaan dan karyawan.
7. Akses Pemberi Kerja Anda
Pemberi kerja Anda adalah pengendali data atas catatan kepegawaiannya sendiri. Super administrator yang ditunjuk oleh pemberi kerja Anda dapat melihat catatan kehadiran dan foto bukti kehadiran untuk karyawan pemberi kerja tersebut, di dalam workspace-nya yang terpisah. Hal ini melekat pada setiap sistem absensi tempat kerja.
Pemberi kerja Anda tidak dapat mengakses, melihat, mengunduh, atau mengekspor templat wajah, dan tidak dapat mengakses data organisasi lain.
8. Hak Anda sebagai Subjek Data
Berdasarkan UU PDP dan peraturan yang berlaku, Anda memiliki hak-hak berikut:
- Hak akses — Meminta salinan data pribadi Anda
- Hak koreksi — Meminta perbaikan data yang tidak akurat
- Hak penghapusan — Meminta penghapusan data Anda, termasuk data wajah
- Hak pembatasan pemrosesan — Meminta pembatasan pemrosesan data tertentu
- Hak portabilitas — Meminta data Anda dalam format yang dapat dibaca mesin
- Hak menolak — Menolak pemrosesan untuk tujuan tertentu
- Hak menarik persetujuan — Menarik persetujuan yang pernah diberikan, termasuk persetujuan pemrosesan data wajah
Cara Menggunakan Hak Anda
Karena pemberi kerja Anda merupakan pengendali data atas catatan kepegawaiannya sendiri, permintaan terkait data pribadi Anda dikoordinasikan melalui HR atau admin perusahaan Anda. Penghapusan diproses sebagai permintaan, bukan tindakan langsung di dalam aplikasi, agar catatan kehadiran yang wajib disimpan pemberi kerja secara hukum tidak terhapus secara sepihak.

Kami akan menanggapi permintaan Anda dalam waktu paling lambat 30 (tiga puluh) hari kerja sesuai UU PDP. Penghapusan templat wajah bersifat permanen dan tidak dapat dibatalkan.
9. Penghapusan Akun
Untuk menghapus akun HRIS Mobile Anda:
- Hubungi HR atau admin perusahaan Anda untuk mengajukan permintaan penghapusan, atau kirim email ke support@inodigi.co.id.
- Setelah akun dihapus, templat wajah Anda dihapus secara permanen, dan data pribadi Anda yang lain dianonimkan atau dihapus dari sistem operasional kami dalam waktu 30 (tiga puluh) hari kerja.
- Catatan kepegawaian yang diwajibkan oleh peraturan ketenagakerjaan atau perpajakan akan tetap disimpan sesuai periode retensi hukum yang berlaku.
10. Transfer Data Lintas Batas
Server backend kami dihosting di Indonesia (Jakarta). Data wajah tidak ditransfer ke luar Indonesia. Apabila di masa depan kami melakukan transfer data ke luar wilayah Indonesia, kami akan:
- Memastikan negara tujuan memiliki tingkat perlindungan data yang setara atau memadai
- Memberikan pemberitahuan kepada Anda
- Memperoleh persetujuan yang diperlukan sesuai UU PDP
11. Anak-Anak
Aplikasi ini tidak ditujukan untuk individu di bawah usia 18 tahun. Kami tidak secara sengaja mengumpulkan data pribadi dari anak-anak.
12. Perubahan Kebijakan Privasi
Kami dapat memperbarui Kebijakan Privasi ini dari waktu ke waktu. Perubahan material akan diberitahukan melalui:
- Pemberitahuan dalam aplikasi
- Email ke alamat email kantor Anda
- Pembaruan “Tanggal Efektif” di bagian atas dokumen ini
Penggunaan Aplikasi secara terus-menerus setelah pemberitahuan perubahan menandakan persetujuan Anda terhadap Kebijakan Privasi yang diperbarui.
